Xero for auto workshops (plus MYOB & QuickBooks): sync without the mess

Most workshops already use Xero, MYOB or QuickBooks Online for BAS and the bookkeeper. The trap is retyping every workshop invoice into it on Friday. Sync fixes that.

When to connect

Set up your customers, labour rate and a few real jobs first. Connect your accounting once invoices look right. Clean jobs in means clean books out.

What to sync

  • Customers — so you don’t keep two address books.
  • Invoices — with GST, straight from the job.
  • Payments — so paid invoices show as paid in your books.
  • Supplier bills — if your bookkeeper wants them there.

Keep it clean

  • Agree account codes for labour and parts with your bookkeeper before the first sync.
  • Fix mistakes in the workshop software, not in your books. Edit an invoice in one place only.
  • Merge duplicate customers before you sync a backlog.
  • Send or mark invoices paid every day, not at month end.
  • Leave BAS and bank rules to your accounting software.

Xero, MYOB & QuickBooks sync: FAQ

Does Workshop Hub integrate with Xero?

Yes. Workshop Hub syncs customers, invoices, payments and supplier bills with Xero. It also connects to MYOB and QuickBooks Online. Pick one in Settings and sign in.

Is accounting sync included on the Solo plan?

Yes. Xero, MYOB and QuickBooks Online sync is included on every plan, including Solo at $59 a month + GST.

Do I still need Xero, MYOB or QuickBooks?

Yes, for BAS, bank reconciliation and your bookkeeper. Workshop Hub runs the workshop side (bookings, jobs, quotes and GST invoices) and sends invoices and payments to your accounting software so you do not retype them.

Do paid invoices show as paid in my books?

Yes. Payments recorded in Workshop Hub sync across, so the invoice shows as paid in Xero, MYOB or QuickBooks Online.

When should I connect my accounting software?

After you have set up customers, your labour rate and a few real jobs, and your invoices look right. Agree account codes for labour and parts with your bookkeeper before the first sync.

Solo shops can run the floor first and add sync when ready. From $59 AUD/month + GST with a 14-day free trial.

Australian GST and bookkeeper expectations

Your bookkeeper wants one clean GST record. Invoices already show your ABN and GST, and sync keeps them the same. If account codes change mid-year, write down the date.

Run jobs in Workshop Hub and let Xero, MYOB or QuickBooks Online handle the books. Try the floor first, then connect.
