Workshop software ROI calculator: time saved and extra income

Will workshop software pay for itself? Enter how your shop runs today, pick a plan, and see an estimate of the admin time saved and the extra income it could help you capture, set against the plan cost. Pick a plan and answer a few quick questions. Every assumption is visible under “Adjust assumptions”, the defaults are cautious, and nothing you type is stored.

The interactive calculator needs JavaScript. You pick a plan and enter jobs per week, average invoice and (optionally) staff. For the default example (a 3-person shop on the Shop plan doing 40 jobs a week at a $480 average invoice) the estimate is:

  • Workshop Hub could add about $1,399 a month, after paying $129 + GST a month for the plan and about $58 in text credits
  • Time saved: $477 a month (about 2.7 admin hours a week)
  • Missed charges caught: $56 a month
  • Fewer no-shows and extra bookings: $1,052 a month

These are example inputs, not customer results. Admin hours, missed charges, quote approvals, no-shows, extra bookings and the AI Receptionist add-on sit under Adjust assumptions. Estimates only, not a guarantee. Nothing you enter is stored.

How the estimate is worked out

  1. Admin time saved = weekly hours on each task × % saved for that task × weeks per month, valued at your hourly figure. Solo gets 40% of the quoting saving (no AI quote writer); supplier invoice time only counts on Pro+ (E-invoice and reconcile); reminder time only counts on Shop and Pro+.
  2. Missed charges recovered (Shop and above) = jobs × % of jobs with a missed charge × average missed charge × % the missing-charge check catches.
  3. More quotes approved = quotes per week × approval uplift in percentage points (never taking approval above 100%) × average invoice.
  4. Fewer no-shows (Shop and above) = jobs × no-show rate × reduction from reminders and deposits × share of those that become billed jobs × average invoice.
  5. Extra bookings = extra jobs per month you expect from the online booking widget, Google review requests (Shop and above) and service or rego reminders (Shop and above), each × average invoice.
  6. Money streams (everything except admin time) are counted at gross margin, not full revenue, so they are not overstated.
  7. Plan cost = plan price + estimated SMS credits for reminders and review requests (Shop and above) + the optional $119 AI Receptionist add-on if you switch it on (Pro+ only; 60 calls a month included, then $1.50 per extra call, which is added when your missed calls are above that). All ex GST.
  8. Net monthly benefit = total benefit − total cost. The headline shows this net figure, split into time saved, missed charges caught, and fewer no-shows plus extra bookings. Annual return and payback are shown under “Adjust assumptions”.

About the default numbers

  • The defaults describe an imaginary three-person shop doing 40 jobs a week at a $480 average invoice. They are starting points, not statistics, and are not drawn from customer data.
  • Time-saved percentages are cautious guesses for tasks that are partly automated, not fully removed. Change them under “Adjust assumptions”.
  • Extra-job inputs default to one job a month per source. If your shop already takes online bookings or asks for reviews, set these to zero.
  • Admin time is valued at $45 an hour. Use what your own time or your office person actually costs.

Questions about this calculator

Is this a guarantee of savings?

No. It is an estimate built from the numbers you enter and the assumptions shown. Your results may be lower or higher.

Why are some lines locked on Solo?

Some features are only on higher plans: the AI quote writer, missing-charge check, reminders, review requests and deposits are on Shop and above; supplier invoice email capture and reconcile are on Pro+. The calculator only counts a benefit when the plan has the feature.

Is the AI Receptionist included?

No. It is an optional Pro+ add-on at $119 + GST per month (60 calls included, then $1.50 + GST per extra call), so it is off by default and, when on, added to the cost as well as the benefit.

Does the calculator store or send my numbers?

No. Everything runs in your browser. There is no form, no email capture and nothing is saved.

Which prices does it use?

Solo $59, Shop $129 and Pro+ $189 per month, all ex GST (10% GST is added at checkout), plus estimated prepaid SMS credits at $0.18 each ex GST.
